Privacy Compliance Notice: Under the Digital Personal Data Protection Act, 2023 (DPDP Act) and Section 43A of the Information Technology Act, 2000, we are committed to processing your personal data lawfully, fairly, and transparently based on your explicit consent.

At PrepQube, we value the trust you place in us. This Privacy Policy details how we collect, store, process, transfer, and delete your personal and career data. By creating an account or using our platform, you acknowledge that you consent to the practices described herein.

1. Categorization of Data We Collect

We process the following categories of personal data (referred to as "Personal Data" under the DPDP Act):

  • Identity & Contact Details: Full name, email address, phone number (if provided), and auth identifiers via Firebase.
  • Academic & Professional Profile: College name, department, graduation year, target industry, experience level, technical skills, and links to LinkedIn, GitHub, or portfolios.
  • Career Content: Uploaded resume files (stored securely in Cloud Storage) and extracted text from resumes.
  • Usage & Interaction Data: Logs of your assessment scores, recommended skills, custom goals, and interview preparation queries.
  • Analytics & Technical Data: Referrer hostname, visited paths, browser user agent, session activity logs, and IP address (for analytics and security monitoring).

2. Purpose and Lawful Basis for Processing

Under Section 4 of the DPDP Act, 2023, we process your personal data solely for specified, lawful purposes based on your explicit consent:

  • To set up and manage your secure user account.
  • To run ATS-parsing algorithms on your resumes and provide analytics and rating reports.
  • To generate personalized, role-specific interview preparation questionnaires.
  • To match your profile against live job recommendations.
  • To resolve queries submitted through our Contact Us forms.
  • To maintain audit and consent logs as required under applicable laws.

3. Data Sharing and Intermediary Transfers

We share only necessary data with trusted service providers who act as our Data Processors, under strict contracts:

  • Google Firebase: For secure authentication, database hosting (Cloud Firestore), and file storage (resumes).
  • Third-Party AI Models (including Google Gemini, Groq, and other LLM APIs): To analyze resume contents, generate interview feedback, and recommend skills. These third-party services process the data in accordance with their respective developer API terms and privacy policies. While standard API terms for these providers generally state they do not use API-submitted data for model training, PrepQube does not possess independent control over their servers, internal processes, or policy changes. By using the Platform, you acknowledge and consent to your data being processed by these third-party AI systems under their standard terms.

4. Your Statutory Rights (Data Principal Rights)

Under the DPDP Act, 2023, you hold the following rights:

  • Right to Access: The right to view a summary of the personal data being processed and the processing activities.
  • Right to Correction & Completion: The right to correct, complete, or update any inaccurate or out-of-date information.
  • Right to Deletion (Erasure): The right to delete your personal data. You can delete your account under Profile Settings. Doing so permanently and irreversibly erases all your profile data, resumes, and logs.
  • Right to Withdraw Consent: The right to withdraw your consent at any time. If you withdraw consent, we will stop processing your data, which will require account termination.
  • Right to Grievance Redressal: The right to register a complaint with our Grievance Officer or the Data Protection Board of India.

5. Data Security Measures

In compliance with Section 43A of the Information Technology Act, 2000, we maintain reasonable security practices and procedures. All data is encrypted in transit (using HTTPS/TLS) and at rest (using Firebase security schemas). Access to user resumes is governed by Firebase security rules, restricting access strictly to the owner of the document.
